ERP Assessment [Go/No-Go]

A structured readiness review before you commit budget.

An ERP Assessment (Go/No-Go) is the critical evaluation phase a company undergoes to determine whether it is ready, willing, and financially capable of implementing a new Enterprise Resource Planning (ERP) system. The final “Go/No-Go” decision serves as the ultimate gatekeeper before committing massive capital, time, and human resources to the project.

The ERP Assessment Process Steps

A thorough ERP assessment follows a structured, sequential framework to move an organization from initial concept to a definitive decision.

Discovery & Alignment

  • Define Project Objectives: Establish the “why.” Identify specific business drivers (e.g., supply chain bottlenecks, siloed financial reporting).
  • Secure Executive Sponsorship: Appoint a steering committee and executive sponsors who will champion the budget and organizational change.
  • Form the Project Team: Appoint an internal project manager and identify key Subject Matter Experts (SMEs) across finance, HR, supply chain, and operations.

Process & Technical Analysis

  • Current-State Mapping (“As-Is”): Document existing workflows, software systems, manual spreadsheets, and operational pain points.
  • Future-State Requirements (“To-Be”): Define what the ideal system must achieve. Develop a comprehensive Functional Requirements Document (FRD).
  • Data Inventory: Evaluate the quality, location, and complexity of existing data that will eventually need migration.

Market Research & TCO Modeling

  • Vendor RFI/RFP Issuance: Send Requests for Proposal (RFPs) to a shortlisted group of ERP vendors (e.g., SAP, Oracle NetSuite, Microsoft Dynamics, and Workday).
  • Build the TCO Model: Calculate the true cost over a 5-to-7-year horizon. This must include software licensing, implementation partner fees, internal labor, hardware/cloud infrastructure, post-go-live support, and training.
  • ROI & Business Case Development: Quantify the expected financial returns (e.g., inventory reduction, faster invoice processing) against the TCO.

The Go/No-Go Decision Gate

  • Risk Assessment: Identify critical failure points (e.g., data loss, operational downtime during cutover, vendor lock-in).
  • Final Steering Committee Review: Present the business case, resource requirements, and risk matrix to executive stakeholders.

Sign-Off or Pivot: The committee officially votes to proceed to contract negotiation (Go) or delay the project until prerequisites are met (No-Go).
