Proof of Concept [POC]

Test your hardest scenarios before signing a contract.

A Proof of Concept (POC) in ERP Systems is a hands-on exercise where a shortlisted ERP vendor demonstrates how their software handles your company’s actual, real-world business scenarios.

Unlike a generic sales demo, a POC uses your data and your specific workflows to prove that the software can realistically fulfill your most complex business requirements before you sign a multi-year contract.

The 5-Step ERP POC Process

A successful POC requires tight scoping. If it is too broad, it turns into an expensive, drawn-out pre-implementation project.

Scope the "Stress Tests"

Do not try to test the entire ERP. Identify 3 to 5 critical, high-risk, or highly complex scenarios (e.g., “Automating our specialized revenue recognition rule” or “Real-time inventory tracking across 4 third-party warehouses”).

Provide Sample Data

Extract a clean, limited subset of your actual data (e.g., 50 customer profiles, 100 SKUs, 2 weeks of transaction history) and securely hand it over to the vendor.

Vendor Configuration

The vendor configures a sandbox (test environment) utilizing your data to mirror the requested workflows. They should rely primarily on standard out-of-the-box features rather than heavy custom coding to prove the system’s baseline capability.

The Execution & Evaluation Workshop

Your SMEs sit down with the vendor to watch or actively test the workflows step-by-step. The team scores the system based on:

  • User Experience (UX): How many clicks does it take? Is it intuitive?
  • Functional Fit: Does it meet the requirement without requiring massive custom code?
  • Performance: How efficiently does the system process the data?

Final Evaluation & Decision

The project team reviews the results. If the POC succeeds, it provides the green light to proceed to contract negotiation. If it fails, the organization pivots to an alternative vendor or renegotiates the implementation approach.

Common Pitfalls to Avoid

Testing the Easy Stuff

Don't waste time looking at standard modules like basic Accounts Payable. Focus strictly on your bottleneck processes.

Paying too much (or too little)

Vendors often charge for a comprehensive POC because it requires engineering resources. Budget for this, but negotiate to have the POC fee credited back to your implementation costs if you sign the final contract.

Letting the Vendor Drive Blind

Provide rigid, step-by-step scripts for the vendor to follow during the showcase so they cannot steer around software limitations.
